Show management software for community theatre

From the first rehearsal to the last night’s takings: who is called when, what the show needs, and what it is costing.

Rehearsal schedules

Schedule a rehearsal and say who is called. Everyone called gets a call sheet by email the evening before, and their calls appear in the phone calendar they already use, moving when you move them.

  • Repeating rehearsals
  • Meetings with an agenda and minutes
  • A check-in list and attendance record
The Rehearsals section, listing each rehearsal and how many are called.

Rehearsal notes to the cast

After a rehearsal the creative team writes notes: one for everyone called, and notes for one person, a part or a group such as @Ensemble. Each person gets one email with their notes, and a note for one person is never shown to anyone else.

Notes on a rehearsal: a note for everyone called and notes for individuals, ready to send.

Props, costume and set

Every show has a list of the props, costumes, set and equipment it needs, with a first draft from the play for you to check. Each line looks in your own store first, then at what theatres near you will lend.

A show’s Set, props, costume, equipment section, with lines for chairs, a telephone and costumes, each showing items from the store or nearby theatres.

The Wings

Borrow costumes, props, set and kit from theatres near you, and lend your own. Keep track of what your theatre owns and how many are free, so two shows do not plan to use the same thing.

The Wings, with giveaways and the items other theatres share, each showing its type, price and how close the theatre is.

Budgets

Each show has a budget with a line for each department, and works out ticket income and the break-even from the house and the run. Lock it once the committee agrees, and start a new version if the plan changes.

A show’s budget, with the headline figures, income assumptions and the break-even chart.

Spending and profit and loss

Record spending as it happens, with a photo of the receipt. The profit and loss compares each department with its budget, and ticket income comes from paid bookings with refunds taken off.

  • Venue and co-producer splits
  • Export for the treasurer
The P&L and actuals page, with the profit and loss summary above the expenses list.

What it costs

  • Rehearsals are free on every show, on every plan.
  • A show’s budget and finance come with the free show, a Show Pass for that show, or the plan.
  • Borrowing and lending through The Wings has no fee.
